You will be joining an EA team that excels in providing exceptional administrative, organizational and logistical support, enabling our colleagues and firm to operate efficiently and fulfil our mission of creating positive and enduring change in the world.
The role of the Executive Assistant is to proactively provide dedicated administrative support to several executive level colleagues within a large professional services organization; always maintaining a customer focused approach and demonstrating the highest standard of customer service. EAs report day-to-day operational issues to an EA Team Leader, who is also a sounding board and confidant. All EAs are managed by the EA Manager.
Primary responsibilities:
- Complex diary management across multiple time zones at a senior level
- Planning and management of complex travel arrangements and itineraries, for very busy diaries, with an awareness of Partner priorities
- Prioritizing and navigating a busy inbox and responding in a timely manner, with a deep understanding of supported colleagues working preferences and priorities
- Screening and handling correspondence with external client and internal teams, leveraging advanced communication skills to negotiate, influence and navigate complex scenarios
- Collaborating, developing and strengthening relationships and operating models with supported colleagues, consultants, firm leaders, external clients and vendors globally to ensure smooth progress of priorities
- Monitoring Partner emails and responding as appropriate
- Working with EAs in a collaborative ‘cluster’ team environment; ensure seamless cover/support remains at all times
- Ad hoc project work, client events, internal conferences, depending on Partner and team needs
- Additional administrative responsibilities, e.g. maintaining records, expenses, timesheets and contact databases
- Pushing self-development by identifying and pursuing self-defined development goals, attending relevant training and addressing any identified development areas; development opportunities include participation in EA and firm initiatives
- 3+ years experience working at a senior level in a professional, dynamic environment
- Strong working knowledge of Microsoft Office
- Degree level and/or secretarial qualification preferred
- Proven organizational skills, with extensive experience of working with complex diaries at a senior level
- Ability to handle multiple deadlines with excellent time management and a real instinct for prioritization
- Flexibility, adaptability, tolerance of ambiguity and resilience will be crucial in navigating the fast paced and dynamic nature of our work, often under tight deadlines and differing personalities of team
- Capacity to switch between detailed work and the bigger picture in a way that allows them to anticipate Partners’ needs
- Initiative, showing a proactive, solutions-orientated approach; able to hit the ground running demonstrating end to end logical problem-solving, often ambiguous scenarios with an ownership mindset; resolving issues before conflict arises,
- Positive attitude with a willingness to provide the highest levels of internal and external client service

- Strong team spirit with a positive influence on others, demonstrating the ability to work seamlessly with other EAs and consultants in a supportive and collaborative team environment

- Ability to give and receive constructive feedback
