Your Impact

As a key member of our team, you will be responsible for managing reprographics production requests and handling all related supply orders. You will oversee the maintenance of printers and act as the main contact for resolving issues such as paper jams. Additionally, you will supervise the main supply room, ensuring timely placement of orders for necessary supplies.  
Your role will involve organizing and monitoring office paper stock on each floor to maintain adequate supply levels. You will be tasked with developing and maintaining professional partnerships with our main suppliers, overseeing supply inventory (e.g., office supplies, printer toner, business cards), and processing purchase orders as appropriate.
Providing administrative support is another crucial aspect of your responsibilities. This includes tasks such as filing, billing, and conducting quality surveys. You will also serve as a backup for the Office Services Coordinator and follow up on office maintenance issues with the facilities company as needed. Part of your duties will involve conducting office tours to identify malfunctioning or broken items and assisting the Fire Marshal team during evacuations. You will manage office badges, coordinate with vendors, handle invoice management, and support the onboarding and offboarding processes for employees.
This role is based in our Brussels office and does not offer the option to work from home. Your presence will be integral to the smooth operation and maintenance of our office environment.

Your Growth

As an Office Service Administrator in our Brussels office, you will be essential in supporting the office’s operational services, including reprographics, office services, and office facilities. 
More specifically, you will be responsible for  managing day-to-day reprographics requests, ensuring adherence to firm policies and procedures while delivering an excellent customer experience; ensuring continuity in operational service delivery by supporting a wide range of tasks related to office facilities and services. 
You will work closely with our Office Services Coordinator and assist as needed.

Your qualifications and skills

  • Bachelor’s degree or relevant education or equivalent professional experience
  • Fluency in English and Dutch or French
  • Strong interest in office-related services
  • Ability to build internal and external networks effectively
  • Hands-on mentality and willingness to help others
  • Strong administrative capabilities
  • Team player with excellent customer service attitude & communication skills
  • Strong interpersonal skills, proactive approach and effective problem-solving abilities
