Who You'll Work With

The Office Services team is instrumental in ensuring the smooth operation and maintenance of our office environment. This includes vendor management, maintenance, reception, Health and Safety (EHS), Free Trade Zone compliance, emergency response, communications, and co-organizing site-wide events. We collaborate closely with all onsite teams and functions, primarily serving internal clients but also supporting visitors from other offices and engaging with external vendors. 
As an Office Services Assistant, you will work closely with internal clients, guests, vendors, and various teams within our firm. You will collaborate with department managers and teammates across a range of office services areas to ensure smooth operations and exceptional service delivery. Additionally, you will interact with cleaning and security staff, as well as coordinate logistics for visiting guests.

Your exceptional service and attention to detail will contribute to the overall efficiency and productivity of our office. By coordinating various tasks such as sorting and distribution of mail, conference room bookings, office services issues reporting, tickets control, reception management, office supplies controls, coordinating logistics for visiting guests, you will help create a seamless and organized workplace. Your support in the organization of events and additional office administration projects will foster a positive and engaging work culture.
You will assist the Office Services Manager and team members with various tasks to ensure efficient operations. Maintaining a positive and professional attitude in all interactions with stakeholders is crucial. You will ensure the accurate and timely completion of all assigned tasks.

Your qualifications and skills

  • High school diploma or equivalent
  • Preferred 1+ years of experience in an office services role, receptionist, or administrative assistant position
  • Exceptional organizational and time management skills
  • Strong attention to detail
  • Ability to work independently and as part of a team
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite and other relevant software
  • Ability to adapt to changing priorities and thrive in a fast-paced environment
  • Proven experience in delivering exceptional customer service
  • Ability to handle confidential information with discretion
  • Strong problem-solving skills and the ability to multitask effectively
